Frequently Asked Questions

1.Where is my data stored and how secure is it?

We store your data in the cloud so it's available across all your devices. Our backend is built on Supabase, with data hosted in the United States on industry-standard cloud infrastructure.

We've taken all the necessary precautions to keep your data safe from loss and unauthorized access. Even if you lose your iPhone or accidentally delete the app, your data isn't lost — it lives in the cloud and is restored the next time you sign in.

2.Do I need to be connected to the Internet to use Narvata?

Yes. Narvata reads and writes your data live from our servers, so you'll generally need an Internet connection to use it. The upside is that everything you enter is instantly available across all your devices — no waiting for syncs to catch up.

If you briefly lose connection while the app is open, you may still be able to view data that's already loaded, but new entries and changes need a connection to save reliably.

3.All my data seems to have disappeared from the app. How can I get it back?

Your data is stored safely in our cloud database, so it hasn't actually gone anywhere. The most common cause is a date filter on the Sales screen — tap the Filter button in the top left corner and choose All Dates to clear it.

If you're still not seeing your data, sign out of the app and sign back in to refresh your view. If that doesn't work, please contact us and we'll be happy to help track it down.

4.Can I use Narvata across multiple devices?

Absolutely. Narvata runs on iPhone, iPad, Mac, and the Web — you can use it on all of them with the same account, and your data is always in sync. Enter a sale on your iPhone and it appears on your iPad and on the web app within seconds.

5.Can I use Narvata in a web browser on my computer?

Yes. The web app lives at app.narvata.com — sign in with the same account you use on your iPhone or iPad. It's a great way to view and manage your business from a laptop or desktop, where the bigger screen and keyboard make data entry and reviewing reports much easier.

The web app lets you record sales and expenses, and manage your customers, products, vendors, categories, expense categories, sale sources, and sale statuses. It also includes the full Dashboard with all the same charts and reports the iPhone app offers — sales and expense trends, top customers and products, income vs expenses, and breakdowns by category, source, and attribute. CSV exports are available too, and you can upgrade to Premium or Lifetime right from your browser with a credit card.

A few things are still iPhone/iPad-only for now: signing up for a new Narvata account, managing Leads, and reordering your custom sale statuses. We're working on bringing those to the web next.

6.What plans does Narvata offer?

Narvata offers three plans:

Basic (Free): Unlimited customers and products. Up to 5 sales per month and 3 sale sources.

Premium ($29.99/year): Unlimited sales, sale sources, leads, custom sale statuses, expense tracking, inventory tracking, and AI chat (coming soon).

Lifetime ($79.99 one-time): All Premium features, permanently.

You can upgrade at any time from any device. Open Narvata on your iPhone, iPad, or the web app.

7.What are Leads and how should I track them?

Please click here to learn about tracking your leads.

8.How do I convert a Lead into a Sale?

Open the Lead and tap the Convert this Lead to a Sale link.

9.Do I have to enter sales by hand or can they be imported automatically?

Currently, you have to input sales by hand. We're working on automating this by importing transactions from online marketplaces like Amazon, eBay, Shopify, and Etsy. If you sell through any of these sites, data entry should become fully automated soon. Your customers can be imported automatically from the iPhone or iPad Contacts app.

10.How do I enter the cost price of an item to calculate the profit or loss from my sales?

Narvata does not currently let you associate a cost price with your products and services, but it still makes it possible to calculate your profit and loss.

For most businesses, profits and losses are not simply based on the cost price of the things they sell. There are other expenses involved such as wages, fuel, marketing, rent, commissions, travel, accounting, etc. For this reason, Narvata has a built-in expense tracker where you can enter all your expenses, not just the cost price of items. The expense tracker allows you to group expenses by categories and vendors. To track the cost price of items, you can create a category like "Inventory" or "Cost of Goods Sold".

Once you have entered all your expenses for the month, check out the "Sales vs Expenses" report in the Dashboard to see your profitability. We hope that using the expense tracker gives you a more flexible way to track your costs instead of just entering a cost price for each of your items.

11.How do I delete a product, customer, expense, sale, category, etc.?

The same way you would delete an email in the Mail app on your iPhone or iPad. Simply swipe across the item you wish to delete with your finger, and you will see the big red Delete button. Some screens also provide an Edit button in the top left-hand or top right-hand corner. Tapping this button enters an Edit mode where you can delete items easily. On the Web, you'll find a delete option in each item's actions menu.

12.How are projected sales that are displayed on the Dashboard calculated?

We calculate projected sales using your average daily sales and the number of days in the current month. For example, if today is June 10th and your month-to-date sales were $1000, your projected sales for June would be: (1000 / 10) x 30 = $3000, since June has 30 days.

13.How can I export my data?

Narvata supports two kinds of export:

PDF reports: Tap the PDF button in the top right corner of any Dashboard report. You can then share it via email, AirDrop, or any of the share options available on your device.

CSV exports: Export your customers, sales, products, and leads as CSV files for use in Excel or Google Sheets. On iPhone and iPad, look under the My Account menu. On the Web, you'll find these options in your account settings — exporting from a desktop browser is generally the smoother experience for larger datasets.

14.What's the difference between Items and Categories?

Categories are the "parent" of items. Every item must be inside a category. For example, if you were selling automobiles, your categories would be Cars, Trucks, and Minivans. If you were a painter, your categories would be Watercolor Paintings and Oil Paintings.

Under each of those categories, you would have specific items, such as Ford Mustang, Chevy Malibu, Honda Civic, etc. (using the automobile example). Basically, you cannot have items without a category. Every item needs to be under a category, even if you have only a single category.

Why? We chose this hierarchy for better reporting across groups of items. For example, in the automobile example above, you would be able to see if you're selling more Trucks or Minivans (regardless of the specific make and model).

15.Can I track multiple sizes, colors, or other variations of a product?

Yes. Narvata supports product attributes — define attributes like Size, Color, or Material on a category, and each item in that category can have multiple values for each attribute.

For example, a T-shirt category with attributes "Size" and "Color" lets you record sales by S/M/L and Red/Blue/Black. The Dashboard then breaks down sales by variation so you can see which sizes and colors are performing best.

16.Why doesn't the Dashboard show me reports for a particular month?

You might have applied a date filter to the Dashboard. Tap the Filter button in the top left corner of the Dashboard screen. Then press the Reset button to reset the filter back to all dates for which you have entered data.

17.How do I change the currency symbol displayed next to prices and amounts?

You can pick your business's currency when you sign up, and change it any time later by going to Edit Profile under My Account. Narvata supports the standard ISO 4217 currencies, and the symbol you pick is used everywhere prices and amounts appear.

If you don't pick a specific currency, Narvata falls back to whichever currency is the default on your device. Note that Narvata currently supports a single currency per business — there is no per-sale or multi-currency support yet.

18.How do I track refunds or chargebacks?

Create a sale with a negative total amount. The app will recognize this as a chargeback or refund, and apply special treatment to it. Transactions with a negative total will also appear with a red background to help you identify them easily.

19.The data between my iPad and iPhone seems to be out of sync. What should I do?

Narvata syncs in real time — changes you make on one device should appear on your other devices within seconds. If you're seeing a mismatch, the most common cause is a flaky network connection on one of the devices. Make sure both devices are online, and pull down on a list to refresh it.

If a discrepancy persists, sign out and back in on the affected device — that fetches a fresh copy of your data from our servers. If you're still seeing a problem after that, please contact us so we can investigate.

20.Does Narvata allow multi-user access so my team can enter data or view the reports?

Unfortunately, Narvata is currently not designed for multiple users. It is optimized for a single user using it on several personal devices such as iPhone, iPad, Mac, and the Web.

In theory, you could share the same username and password with multiple people. But it's just not tested for that kind of usage, so we recommend you don't use it that way. Besides, it's not very secure for multiple users to share the same username and password.

We plan to enable secure, officially supported multi-user access in the future. So far there hasn't been much demand, therefore it is lower priority than other features. If this feels like a deal-breaker to you, please share your feedback so we can re-prioritize it.

21.Why isn't my Dashboard showing graphs?

The Dashboard generates graphs using data you've entered. If data for a graph hasn't been entered, or has been filtered out, the graph won't appear. For example, the graph of Sales by Sale Sources analyzes all the sale sources you use. If you haven't selected sale sources when creating your sales, this particular graph won't be generated.

You can also filter graphs by date (e.g., last 60 days, last 90 days, etc.). If you're not seeing a graph, maybe there isn't any data for the date range you've selected. Tap the Filter button in the top left corner of the Dashboard and remove any filters by selecting All Dates.

22.Does Narvata allow me to send invoices to my customers?

Unfortunately Narvata does not currently have any invoicing features. This is one of our top requests, so we do plan on offering invoicing features in the future.

23.Does Narvata have AI features?

AI chat is on our roadmap and will be available as part of the Premium plan. The vision is a conversational way to ask questions about your sales, customers, and expenses — things like "how did Q1 compare to last year?" or "which customers haven't bought in three months?" — without having to dig through individual reports. We'll announce more as it gets closer to launch.

24.What happens to my data if I do not renew my subscription?

If your subscription lapses, all your existing data will remain safe in your account. Your account will simply downgrade to the Basic tier, which limits the new data you can add (5 sales per month and 3 sale sources). We will never delete your data unless you specifically request your account to be closed.

25.The app is crashing or won't open. What should I do?

We're sorry you're experiencing this issue. Here are a few steps you can try to get things working again:

First, force-quit the app by swiping it away in the App Switcher, then reopen it. If that doesn't help, try restarting your iPhone or iPad.

If the app still won't open, try deleting and reinstalling it from the App Store. Don't worry — your data is safely stored in the cloud and will reappear when you sign back in.

If you're still experiencing crashes after reinstalling, please make sure you're running the latest version of the app and that your device's software is up to date. You can check for app updates in the App Store, and device updates under Settings > General > Software Update.

If none of the above resolves the issue, please contact us and we'll be happy to help.
